Microsoft Dynamics NAV 2009 Licences and Costs

Microsoft Dynamics NAV offers flexible, competitive licensing. The licence model means you can keep costs to a minimum and, as your business grows, it's easy to grow your system with it.

The licence costs of Microsoft Dynamics NAV depend on the number of users, functionality and level of licensing you need (it's worth noting that, if you've also considered Sage 200, the licence structure for Microsoft Dynamics NAV is different to working out the cost of Sage 200 licences).

There are two basic levels of licence for Microsoft Dynamics NAV:

  • Business Essentials licensing
  • Advanced Management licensing

Microsoft Dynamics NAV Business Essentials Licences

The Business Essentials licences for Microsoft Dynamics NAV have the essential features for integrated financial and business management, and addresses primary financial management needs (including general ledger, accounts receivable, accounts payable and fixed asset management). Business Essentials licensing will help you efficiently manage your supply chain through specific functions for sales order processing, purchase order processing and inventory management. It also includes business intelligence and one full access licence, and allows a limited set of additional components, such as payroll components to be licensed as required.

Microsoft Dynamics NAV Advanced Management Licences

Microsoft Dynamics NAV Advanced Management licensing addresses the needs of organizations that are looking for a business management solution with more complex and advanced functionality. It includes all the functions available in the Business Essentials edition and quite a bit more (which means Advanced Management Licences cost more). Advanced Management licensing includes extended financial management such as cash and collections management, advanced business intelligence, CRM, and more advanced supply chain functionality.

Levels of Access

In addition to Microsoft Dynamics NAV Business Essentials Licences and Microsoft Dynamics NAV Advanced Management Licences, there are also different levels of access licensing. These are:

  • Full access user licences
  • Partial access user licences

Full Access User Licences

A Full Access user licence for Microsoft Dynamics NAV allows one user to access all the functions within the edition at any one time. It uses concurrent licensing, which keeps costs down, because you only pay for the users accessing the system at any one time. So, if you have twenty users, but only fifteen of them will access the system at any one time, then you only need to pay for fifteen Full Access user licences.

Partial Access User Licences

Microsoft defines partial access users as "users that do not access Microsoft Dynamics NAV via the full access licence". So, there are several types of Partial Access user licences are available. A Partial Access user licence, which costs less than the Full Access user licence, is a way of extending access to Microsoft Dynamics NAV to many more people across your organization or to a specific area of the application.

Other Licence Costs

According to your business requirements, there may be additional software licence costs when purchasing Microsoft Dynamics NAV. These are usually through add-on software, modules or applications adding specific functionality. The licensing of these varies, although many are one-off costs no matter how many users you have. Some add-on applications will only work with the Advanced Management Licences.

The purchasing and implementation process differs between companies and organisations because of different business needs. So, way before you buy any Microsoft Dynamics NAV licences, Concentrix will perform a requirements and scoping workshop with you. From this, we'll produce a list of features you require, recommend a licence level and give you an accurate figure for licence costs.

Other Costs

Licence costs are a major factor in working out the overall costs of implementing Microsoft Dynamics NAV. However, there are other significant factors to take into account when looking at total costs.

The overall costs of implementing Microsoft Dynamics NAV will usually include project management, implementation, configuration, additional software or modules, training, maintenance and support. You may also need additional hardware. And don't forget, key staff from across your organisation will all need to dedicate time to the project.

Finding the total cost of Microsoft Dynamics NAV all comes back to your current situation; what you want the system to do and the best way to do it. However, for a powerful, mid-market ERP solution, Microsoft Dynamics NAV is extremely competitively priced and compares favourably with most other systems.
